Spam Filtering
Our E-Mail server has Spam Detection software called SpamAssassin which detects which incoming e-mail could be considered spam, and tags them by adding ***SPAM*** into the subject. You still receive these E-mails incase any of those tagged e-mails are actually legitimate e-mails.
If you are receiving E-mails in your inbox that have ***SPAM*** in the subject, it is possible to set up a 'Rule' in your e-mail client that will automatically filter out any Spam emails from your inbox, and move them to your Junk Mail Folder.
Below you will find instructions that will help you set up such a rule.
Note that the instructions below are for Microsoft Outlook 2002 onwards. Other e-mail clients will have a similar procedure, please give us a call if you are unsure.
1. With Microsoft Outlook running, on the toolbar, Choose 'Tools' then 'Rules and Alerts'

2. A new window titled 'Rules and Alerts' will appear. Click the 'New Rule' button as shown below.

3. On the new window that appears, in the top section, choose "Move messages with specific words in the subject to a folder."

4. At the bottom of the window in the 'Step 2' section, you will see 'specific words' in blue, Click 'specific words' and a window titled 'Search Text' will appear, type ***SPAM*** in the top box, click 'Add', then click OK. (Ensure SPAM is in CAPTIAL LETTERS)
TIP: Press Shift and 8 to get * (asterisk)

5. You will be returned to the Rules Wizard box. You will notice that the bottom box will have changed to reflect the change we just made. The next step is to click the 'specified' link

6. You will be given a list of folders. Choose your 'Junk E-mail' folder from this list, then click OK (If you don't have a Junk E-Mail folder, you can create one using the 'New' button.

7. You will be returned to the Rules Wizard box again. You will notice that the bottom box will have changed to reflect the change we just made. We've completed creating our rule, so you can click the 'Finish' button to complete!

WELL DONE! All future junk mail will now go into the Junk E-Mail folder! Your Rules and Alerts window will look like the image below. From here you can click OK to be returned to Outlook, or if you have a lot of Spam E-mails in your inbox, you can click the 'Run Rules Now' button. Clicking this will move all Spam into your Junk Folder.
You will need to set this rule up on all machines you collect emails from.

REMEMBER! It is possible that legitimate E-mails could be considered as Spam, therefore we recommend that you check the Junk folder every now and again.
